Information we collect and use

Eagleby Doctors respects your privacy and the confidentiality of your health information. We collect personal and health information needed to provide your care and manage the practice. This includes contact details, medical history, medications, test results and records of the care you receive.

Information may come from you, an authorised representative or healthcare providers involved in your care. We use it for healthcare and necessary practice administration, including appointments, billing and follow-up.

Information may be shared with health professionals involved in your care where permitted, with your consent, or where otherwise authorised or required by law. Requests from family members, employers, insurers and other third parties are checked for appropriate consent or legal authority.

Protecting your records

Our privacy procedures require restricted access to patient information, password protection for electronic records, secure storage of paper records and secure disposal when records can lawfully be destroyed. Staff must only access information needed for their work and must maintain confidentiality.

We do not record telephone calls or currently use CCTV at the practice. Please ask reception how to provide sensitive documents securely, rather than sending them through general email.

Accessing or correcting information

You may request access to your records or ask us to review information you believe is inaccurate, out of date, incomplete, irrelevant or misleading. Contact reception and we will check your identity and assess your request. We aim to respond within a reasonable period, generally within 30 days.

A clinical opinion will not be changed solely because you disagree with it, but we will consider whether the record needs correction or clarification. If we decline a correction, we will explain our decision in writing and how to complain. You may ask for a statement of your disagreement to be attached to the relevant record.

There is no charge to request or make a correction. If a lawful charge applies to providing access to records, we will explain it before proceeding.

AI-assisted clinical notes

Some doctors use AI-assisted tools to help prepare clinical notes. Different doctors may use different tools. Your doctor can explain the tool they use and discuss your questions or preferences before it is used.

If you do not want an AI-assisted tool used in your consultation, let your doctor know. Ask about how any audio or other information is handled; this depends on the particular tool.

Website and online booking

Online appointments are handled through HotDoc, including when its booking window appears on this website. Please read HotDoc’s privacy policy (opens in a new tab) for its handling of booking information.

This website uses Google Analytics to understand website use and interactions such as booking, telephone and directions clicks. We do not send the content of medical records or booking forms through these website events. A booking-button click does not tell us that an appointment was completed.

Google Analytics may use cookies and process website usage information overseas. See Google’s privacy policy (opens in a new tab). You can manage cookies through your browser settings.

For information about the service providers and any overseas handling relevant to your care, contact reception and ask for the Practice Manager or Privacy Officer.
